The Notetaker feature is available for customers who do not use an ATS interview workflow. With Notetaker, users can schedule interviews directly from their calendar (in Outlook, Google Suite, etc.) and notify Pillar to capture the information within their Pillar account.
NOTE: The Notetaker feature should NOT be used if interviews are being scheduled via an integrated Applicant Tracking System (ATS). Interviews scheduled through an ATS will already have the integrated AI Interview Companion present, and adding Notetaker could produce duplicate records in Pillar.

When scheduling an interview outside of Pillar or an ATS, add the Notetaker (notetaker@pillar.hr) as an attendee or recipient, and it will automatically log the interview within the Pillar account. This means that if your organization is using Pillar's Notetaker feature, users only need to access the Pillar account itself for post-interview information and action items.
Once Notetaker has been added as an attendee to the interview meeting, it will automatically join the meeting once it has begun. Notetaker will then record, transcribe, and collect any scoring that may occur.
NOTE: Pillar's Notetaker feature logs any outstanding interviews every 30 minutes. Because of this, we recommend scheduling the meeting at least an hour in advance for Notetaker to acknowledge it.
For Notetaker to successfully acknowledge and log the interview, the following information must be present in the invite:
- Interviewer Name: Notetaker will pull the name of the meeting host.
- Interviewee Name: Notetaker will pull the name of the guest attendee.
- Interview Meeting Link: Notetaker will pull the link to the video conferencing meeting that is included in the invite (Zoom, Teams, Google, etc.).
- Job Title: Notetaker can pull this from the meeting invite's title or description, as long as it is clearly written.
