Interview recording and automated email settings

Organizational preferences are available in each account's admin settings. We recommend reviewing your preferences to ensure they align with your team's notification requirements. 

To access your organizational preferences, use the following steps:

  1. Navigate to your initials/photo at the bottom of the main navigation bar (on the left side of the screen).
  2. Click the settings gear icon.
  3. Click Preferences under the Organization section.

The organizational preferences are divided into two types: Recording Settings and Notification Settings. Recording settings determine what is recorded during the interview. Notification settings enable various reminders and alerts to be sent before, during, and after an interview.

Recording Settings

  • Interview Recording: determines whether the interview is recorded, a transcript is collected, and highlights or summaries are generated. NOTE: This is typically disabled only if you are using Pillar solely for interview guides and scorecard co-pilot.
  • Recorded Interviews Visibility: determines whether the interviewing software (Teams, Zoom) indicates that the interview is actively being recorded.
  • Default sharing permissions:
    • Public - Anyone who has the link can access the interview recording.
    • Organization - The link can only be accessed by members within your organization.
    • Restricted - The link is private and accessible only to the interview team members designated in Pillar.
  • Capture Interview Insights: Enabling this feature will allow Pillar to generate information such as interviewer talk time, coachable moments, and highlights. 

Notification Settings

  • Candidate Consent Email: Sent 24 hrs before an interview to the candidate. This email lets the candidate know the interview will be recorded. NOTE: The candidate is also informed that the interview will be recorded via an automated voice prompt as soon as they enter the interview meeting.
  • Interviewer Prep Email: Sent to the interviewer before the interview. This email contains links to the interview guide (if applicable). This email is sent twice: 24 hrs before the interview, as well as 10 minutes before the interview.
  • Interview Recap Email: Sent to the interviewer after the interview has been fully processed by the AI interview companion, notifying them that the recording and associated information are ready for review. This email contains a direct link to the interview record within Pillar.
